How to Compare Local Moving Estimates

Two movers at a lower hourly rate may not include a truck. Another crew may charge for travel as well as the time at your home. Compare the whole planned move before comparing the rate.

The short answer

Give each mover the same inventory, route, date and access details. Confirm whether the quote includes a truck or labor only, then compare crew size, expected billable hours, minimums, travel and extra charges. Ask what can change the estimate and what protection applies to damaged belongings.

First match the service you are buying

HireAHelper distinguishes labor-only help, where the customer arranges transportation, from local full-service moving. Do not compare a loading-only price with a truck-and-crew price as if they cover the same move.

Affinity Moving labels its Twin Cities calculator a planning range and asks customers to obtain a crew-verified written estimate. A calculator total is not confirmation of your inventory, access or final charges.

Give approximate areas and access details in a public request. Share exact addresses, entry codes and security details privately with the chosen provider.

First match the service you are buying
CompareGet the same assumptions in writing
Transport Who supplies and drives the truck; vehicle capacity and extra trips
Crew and time Number of movers, hourly billing unit, minimum and rounding
Travel When billing starts and ends, return travel, fuel or dispatch charges
Access Stairs, elevator booking, loading distance, parking and waiting
Extra work Packing, materials, furniture assembly, heavy items and extra stops

Worked example: compare the same planned hours

Illustrative arithmetic, not observed quotes or Minneapolis market rates: A quotes a two-person crew and truck at $160 per hour plus $80 travel. B quotes an equivalent two-person crew and truck at $180 per hour with the same travel included. Both have a two-hour minimum and no other charges in this example.

The lower hourly rate does not automatically produce the lower total. With these assumptions, B costs less at three billable hours, both cost the same at four hours, and A costs less at five hours.

Ask each mover to estimate time from the same inventory and access information. Confirm how actual time, additional trips, waiting or changed inventory affect the bill rather than treating the example total as a cap.

Invented prices for arithmetic only, not actual offers, local averages or a price cap. The two-hour minimum does not change these three-to-five-hour examples.

Illustrative totals for the same billable hours
Billable hoursA: $160/hour + $80 travelB: $180/hour, travel included
3 hours $560 ($160 × 3 + $80) $540 ($180 × 3)
4 hours $720 ($160 × 4 + $80) $720 ($180 × 4)
5 hours $880 ($160 × 5 + $80) $900 ($180 × 5)

Give the mover the details that change the job

Example request: “I need a local move for a two-bedroom apartment, including a truck, loading and unloading. There is one flight of stairs at pickup and an elevator to reserve at delivery. Please state crew size, estimated hours, minimums, travel and packing-material charges. I will share the inventory and exact addresses privately.”

For a Minnesota household-goods mover, use MnDOT’s information to check the relevant permit and insurance requirements. Ask the provider to explain its responsibility for damaged belongings, any additional protection, payment terms and cancellation terms. This guide does not cover interstate moves.

Before you choose

  • Both estimates use the same inventory, service type and access assumptions.
  • I know crew size, truck arrangements, minimum hours and travel billing.
  • Extra charges, potential time changes and damage protection are explained.
  • Relevant credentials, payment and cancellation terms have been independently checked.

Compare your own quotes

Use the amounts in your quotes for the same work and number of visits. Enter 0 only when the provider confirms there is no extra charge or discount. Leave unknown amounts blank. This worksheet adds your figures; it does not estimate a market price.

No account needed. Entries are not submitted or saved by this worksheet. Copy or print them before leaving. Keep names, addresses and contact details out of your notes.

If a provider quotes per visit or per hour, calculate the total for the same number of visits or estimated hours before entering it. For a seasonal plan, enter the seasonal fee once. If the number of visits is uncertain, compare separate scenarios, such as 10 visits and 15 visits. Add only charges not already included in the quoted total.

Quote A

Only add extras not already in the quoted amount. Only subtract credits not already deducted. For hourly or variable work, use the provider's estimate for the same scope and time; the final bill may change.

Incomplete: confirm all three amounts.

Quote B

Only add extras not already in the quoted amount. Only subtract credits not already deducted. For hourly or variable work, use the provider's estimate for the same scope and time; the final bill may change.

Incomplete: confirm all three amounts.

Check the exclusions, timing and provider's terms as well as the total. A lower number does not show that two quotes cover the same work.
